Starting Monday, Zoom users can leverage an AI-powered document tool to create sharable files based on their meetings. This feature aims to position Zoom as a direct competitor to Microsoft and Google in the 'everything workplace' market. Dubbed AI Companion, the tool can organize meeting transcripts into templates and various organizational tools, integrated directly with Zoom meetings for real-time editing and collaboration.
Zoom, a leading video conferencing application, is venturing into a competitive market with the introduction of an AI-driven document tool designed to enhance productivity and collaboration. Starting Monday, users will be able to access this new feature directly within the Zoom app, allowing them to create, share, and edit documents with the assistance of generative AI. This move positions Zoom to challenge tech giants Microsoft and Google in the quest to be the go-to 'everything workplace' solution for businesses.
Zoom's generative AI tool, AI Companion, is built on language models from prominent AI developers like OpenAI, Anthropic, Meta, and also includes Zoom's proprietary models. AI Companion can transform meeting transcripts into structured documents, such as templates, tables, checklists, and trackers, streamlining the organization of tasks and processes. These capabilities aim to reduce the time spent on routine tasks, providing an edge over existing tools in the market.

According to Smita Hashim, Zoom’s chief product officer, AI is the differentiating factor that makes this feature uniquely powerful. The intent is to offload mundane and high-friction tasks to AI, thus allowing users to focus on more strategic activities. This new document tool is an extension of Zoom's Workplace suite, which has been evolving since its launch in March.
The competition in the collaborative workspace market is fierce, with Google Workspace and Microsoft 365 holding significant market shares. Google Workspace serves over 3 billion users, while Microsoft Teams boasts more than 320 million active users each month. These platforms have also integrated AI features into their tools, making the market challenging to penetrate but not insurmountable. Google Docs, for instance, was able to thrive in an environment once dominated by Microsoft Word.
One of Zoom's strategic advantages is its pricing model. The AI Companion is included at no additional cost within Zoom's Workplace plans, which range from $14 to $19 per user per month for smaller organizations. In contrast, Microsoft’s AI add-on, Copilot for 365, costs about $30 per user per month, while Google's Gemini ranges from $20 to $30 per user per month, on top of the primary service fees.
In addition to competitive pricing, Zoom is likely banking on the existing use of its platform by businesses, many of which already employ Zoom alongside other tools like Google Workspace or Microsoft 365. This could ease the transition for businesses considering switching to Zoom as their primary workplace technology provider. Zoom is seeking new avenues for growth as its rapid expansion during the Covid-19 pandemic has plateaued, impacting its stock performance and leading to significant layoffs.

In early 2023, Zoom was removed from the Nasdaq 100, and its stock price plummeted nearly 90 percent from its peak in 2020. The company responded by reducing its workforce by about 15 percent and enhancing its platform with new features, such as expanded calendar capabilities and cartoon avatars, in a bid to diversify its offerings.
Zoom's focus on integrating AI into its platform marks a strategic shift. With the introduction of AI-powered collaboration tools in April and workflow automation features in July, the company is working to provide a seamless and efficient user experience. These enhancements include automated meeting summaries, email drafting, and task scheduling, all designed to reduce administrative burdens on users.
Eric S. Yuan, CEO of Zoom, envisions a future where AI-driven digital twins can participate in meetings and manage communications autonomously, ultimately reducing the workload for employees. Although this vision is not yet a reality, it signals the direction Zoom aims to take in leveraging AI to transform workplace productivity.
The cluttered nature of notifications in the workplace is a significant challenge that Zoom's AI tools aim to address. By consolidating various forms of communication and document storage within a single platform, AI can help reduce the cognitive load on workers. This integrated approach may be particularly appealing to frontline workers who do not have traditional desk jobs and are not the primary audience for Google or Microsoft's tools.
However, realizing transformative changes in AI requires substantial investment in both technology and employee training. While companies are eager to embrace AI, the tangible benefits of these investments may not be immediately apparent and could take years to materialize fully.
Adam Holtby, a principal analyst at Omdia, suggests that Zoom's potential lies in its ability to broaden its AI capabilities and demonstrate that its tools are essential and worth the investment. As AI continues to evolve, normalizing its use across diverse workforces will be a gradual process.

In conclusion, Zoom's latest updates represent a significant step in its effort to compete with established industry giants. By focusing on AI integration and addressing the practical challenges faced by workers, Zoom aims to position itself as a comprehensive workplace solution. While the competitive landscape remains tough, Zoom's innovative features and strategic pricing could attract businesses looking for efficient and cost-effective collaboration tools.
