Start with the mailbox host

Provider compatibility is the first decision. Shortwave's support page says a Gmail or Google Workspace account is required to sign in. Yahoo, iCloud, Fastmail, Zoho and other providers can be used by forwarding into Gmail, but Outlook.com, Hotmail and Live are forwarding-only and cannot send from the address through Shortwave. Microsoft 365 and Exchange are unsupported. Superhuman Mail's support page says it supports Google and Microsoft 365-hosted accounts through Gmail and Microsoft's APIs. It does not support private-server Exchange, and an alias cannot be used as the login unless it is a real account that can sign in to Gmail or Outlook. This distinction matters for a business professional whose address looks like Outlook but is hosted on Microsoft 365, or whose organization still runs private Exchange.

Separate inbox triage from composing

Shortwave combines custom filters with AI search across email and attachments. Filters can label, archive, delete or star new messages; summaries and todos help turn a long thread into an action list. Its writing tools include personalized replies and autocomplete. Review a suggested reply for the recipient, dates and commitments before sending it.

Match the collaboration model

Shortwave lists shared threads, private team comments, assignees, shared labels and channels. Those controls suit teams that need to see who owns a reply and keep discussion beside the message. Superhuman lists team collaboration and unified administration and billing on Starter; Business adds CRM integrations, Auto drafts, Ask AI, Mail MCP and custom auto labels. Enterprise adds security and administration controls, single sign-on, analytics and priority support. Before choosing a tier, trace one customer message from arrival to assignment, draft and follow-up. Confirm who can see shared context and whether the CRM handoff needs the Business plan.

Business includes roughly 150–300 Standard-intelligence requests per day, depending on complexity; Premier shows twice the usage and Max six times. Superhuman displays Starter at $25 per member/month and Business at $33, both billed annually, with a 15% Business discount for teams of five or more. Use a representative inbox workflow

Try three tasks that reflect your daily inbox: find a fact inside an attachment, draft a reply that includes a deadline, and clear low-priority messages while retaining an important sender. For a team, add an assignment and a private comment, then check what the next person can see. Use an approved test account or messages suitable for evaluation. Compare corrections and clicks required, rather than judging only the fluency of a draft. Fyxer: combine inbox organization with meeting follow-up

Fyxer sorts incoming Gmail and Outlook messages and creates reply drafts informed by your writing. Its meeting notetaker adds summaries and follow-up drafts. Fyxer says it never sends email on your behalf: you review and send the message. Choose this workflow when the bottleneck spans incoming email, calls and follow-up, rather than only composing a faster reply.

The pricing page lists Starter at $30 per user/month when billed monthly and $22.50 per user/month with annual billing. The security page says customer data does not train third-party AI models. That is a specific processing commitment, not a claim that email never leaves your mailbox. Review connected-account permissions and meeting visibility settings for your organization.

Common questions

Does Shortwave support Microsoft 365 or Exchange?

No. Shortwave's provider guide says Microsoft 365 and Exchange are not supported and that Shortwave requires Gmail or Google Workspace to sign in. Outlook.com, Hotmail and Live can forward into Gmail, but the forwarded address cannot send from its own address through Shortwave.

Does Superhuman Mail support Outlook?

Superhuman's support guide says it supports Microsoft 365-hosted accounts through Microsoft's APIs, as well as Google-hosted accounts through Gmail. It does not support private-server Exchange. Confirm that the account is hosted on Microsoft 365 rather than an on-premises Exchange server.
