Chapters
- 00:00 - 01:30: Introduction The chapter titled 'Introduction' focuses on the initial stages of training, providing an overview of the foundational steps needed to get started. It also touches upon recent updates related to 'viewpoint,' although specific new measures mentioned at the beginning will not be discussed in this section.
- 01:30 - 06:30: Account Assignment Process The chapter focuses on the account assignment process and eligibility criteria. It mentions upcoming training sessions, encouraging interested individuals to participate. The session will cover account assignment, eligibility, and new stages, with additional details and team member introductions provided at the end.
- 06:30 - 15:00: Project Submission and Workflow The chapter introduces the testing environment that will be used for project submissions and workflow training. The speaker briefly describes the login page and notes that there might be slight differences in the interface from what trainees will eventually use. The focus is on ensuring that most features and functionalities will be similar, providing a foundation for navigating and managing tasks within the actual environment.
- 15:00 - 19:00: Eligibility and Viewpoint Request The chapter titled 'Eligibility and Viewpoint Request' discusses various dashboards available to individuals involved in project management. The narrator mentions that users should primarily focus on either the organization or contractor dashboard, as these are essential for moving projects forward. Other dashboards are considered irrelevant for the user's tasks. The chapter highlights the importance of selecting the appropriate dashboard to efficiently manage and advance projects.
- 19:00 - 22:00: Questions and Answers Session The chapter titled 'Questions and Answers Session' discusses the process of account assignment. It highlights that the procedure might look slightly different for different users, but the goal is to utilize the 'Request Assignment' tab within an orange button. In addition to the current process of reaching out via the eligibility email, there's an option to request assignment directly within Viewpoint by using specific filters. The recommendation is made to use just one filter for efficiency.
- 22:00 - 25:30: Dashboard and Project Types Overview The chapter 'Dashboard and Project Types Overview' explains the importance of correctly filling out information in the system. If any details such as the account number or address are incorrect or formatted differently than expected, the system will not yield results. The narrative provides an example of selecting an address and checking a box to request an assignment.
- 25:30 - 29:00: Upcoming Trainings and Contact Information This chapter covers how to upload the owner's agreement, specifically through the gas fasttrack program. It includes a step-by-step guide on how to request an account and offers a demonstration of the process using a test project. Additionally, the chapter provides insight into the contractor dashboard, offering a visual tour and explanation of its features and functions.
Viewpoint Training Eligibility, Account Assignment, and Viewpoint stages update May 20, 2025 Transcription
- 00:00 - 00:30 All right. So, today we are doing a starting training um just initially to go over some of the beginning stages to get you started out as well as going through some of the updated stages that we recently released on viewpoint. So, we won't be covering these new measures listed at the top there, but
- 00:30 - 01:00 there will be upcoming trainings. Um, I'll provide the dates at the end, and we definitely encourage anyone to join that is interested in applying for these measures. Today um we'll just be focusing on eligibility account assignment and like I said previously the new stages. I'll put that up at the end. Um these are just some of our team members
- 01:00 - 01:30 you can reach out to with any questions as well. Um but let's get into the training. So this is uh the testing environment here. It will look slightly different than what you will see, but most of it should translate over. Um this would be the login page. So we'll just log in
- 01:30 - 02:00 here. And I have different views here. Um you should just have one to click on. And these dashboards will be what you mainly work with to move your projects forward. Either the organization or the contractor dashboard. These other dashboards are not relevant to you. Um but
- 02:00 - 02:30 for account assignment um again this might look slightly different but you'll be looking for this request assignment tab within this orange button here. So in addition to our current process where you can reach out to our eligibility email um you can also request assignment directly within viewpoint using these filters here. I recommend uh using just one filter. If
- 02:30 - 03:00 you go in and fill out all of this and any of it slightly incorrect or formatted differently than what we have in our extract, you won't get any results. Um, so either if you know the account number or the address. Um, we'll just pull up a random address here to show. Um, but you would click one of these check boxes, request assignment, and most likely you'll be
- 03:00 - 03:30 uploading the owner's agreement unless you're going through our gas fasttrack program. I won't actually go through with it right now, but that is how you um request an account. [Music] So, moving through to the actual process, I'm going to pull up a test project. Yeah. But first, I'll actually show the contractor dashboard. So, I don't have
- 03:30 - 04:00 any requests currently, but this is where you would see your pending requests. You would see if it was denied and why. Um, you'd see which accounts were assigned to you. And these are just test projects, but all of your current projects, you could open them from here. So, once you start filling out a project, this is what the actual project
- 04:00 - 04:30 looks like. Um, when you first begin, it won't look like this. It you would be taken to this page right here. Um, where the this info is autogenerated. You would fill out the customer or whoever the payee information here. Um, you can see the account information at the bottom. You would then be required to fill out all of the site info information as well as a site
- 04:30 - 05:00 contact. Once you fill out that information, then you can begin filling out the pro uh project scope and it would be an in progress as soon as you fill out any of the information from the screen I showed previously. So, this is where you can begin building out your line items depending on which project you're doing. This was an electric project, so that's why you're just seeing these measures here. I'm not going to go in depth on that. Um, but
- 05:00 - 05:30 once you fill out the project scope, you would be able to submit the assessment here. So this summary tab within the project is going to be your main place to move the project forward at different stages. Um so just keep this in mind here that this actions section will be very relevant throughout the project process. So, this is the first action button
- 05:30 - 06:00 you'll see to move it to submitted. And no required documents are needed at this time. Um, just filling out the project scope, but then you have to move a project sold in order for it to be in our pre-insspection queue. So, I'm going to pull up another project that's already been submitted. You can see here I filled in some scope. Um, and I uploaded some documents here. These are the required documents for this
- 06:00 - 06:30 specific project. So, I would now be able to go back into this summary tab. And you'll see this action button to mark it as sold. So, you also are required to put in an estimated date of [Music] completion. And you'll see it's now in sold. So just to give an overview of how it will move through these
- 06:30 - 07:00 stages. Um we can do questions at the end or if you also want to pop them in the chat. Um I just want to get through as much as I can first. But this tab won't be relevant to you. Um but you would see basically from left to right is how your project will move forward until invoicing ultimately. Um so you can see here the stages I was
- 07:00 - 07:30 just describing it was in progress when we started filling out the information. We submitted that. Um there are some blocks that are in place depending on the project. uh someone from the wild team would then remove that block and you would be able to then mark it as sold. Again, depending on your project, it could move through engineering review or it will directly be in our pre-insspection queue. So again, just moving from left to right um will then
- 07:30 - 08:00 will complete our pre-insspection. Depending on the project, we could exempt it. Um it moves from left to right, but also top to bottom here. So depending on the results of your pre-insspection, it could be flagged, it could be failed. Um, another action button. If I just open this, let's say your pre-insspection failed, you make your changes. You go in here. There's no
- 08:00 - 08:30 line items here, but let's say you do make those changes. Again, within this summary tab within the actions, this is where you would click update to send it back to the wild team. Let us know that you made the changes needed and it's ready for us to cure. That would move it to pending cure where it's now in Wan's hands to cure the project and move it forward. It can be subject to our third
- 08:30 - 09:00 party reviewer. um it's held in this selection pool for 24 hours. If they don't select it, it can move forward. If they do, then it would move through this UAQC process as well, similar to the buildin pre-insspection process for commitments. Um once it's passed, cured or moves through QAQC and is passed and cured, it would then be an pending commitment. Um again depending
- 09:00 - 09:30 on the project can also move through PI issued um which at that point well Dan would commit the project. You would receive a notification um actually for all of these stages as it moves through the whoever's email you put in will receive email notifications. you would receive um a notice to proceed document that you're able to start installation and the project moves to install assigned or previously committed
- 09:30 - 10:00 on smart. Um you can schedule a date. It's a bit redundant because it does require you to put in estimated completion dates. So that's not completely necessary. Either will Dan or you can put it on hold if needed. Um and Coming back to that actions tab, once a project is installed, that's where you would also mark it as complete. Um, if you're familiar with
- 10:00 - 10:30 smart, you wouldn't need a signed completion document to necessarily mark it as installed. Um, but in Viewpoint, you can't click this button unless you go to the documents tab, download this statement of completion right here. If you click view document, it downloads directly. Get that signed and uploaded
- 10:30 - 11:00 here. Once you do that, you'd be able to mark it as complete. Post inspection process similar to pre-insspection moves through there and then the wild team will review the project for billing and it will move through to our billing process. That was a very fast overview of these stages. Um, so definitely
- 11:00 - 11:30 any questions I think we can unmute if anyone would like to speak or put in in the chat if you'd like. So just reading the question in the chat. [Music] Um if address and account number is not
- 11:30 - 12:00 [Music] enough. So the utility bill can just confirm um that it is a common area account. That's usually the main reason that we ask for that. [Music] Um, yeah, usually just to verify that it
- 12:00 - 12:30 is a common area account. And I just want to add in, so if if there's a situation where you look up the account on Greenpoint and it's not there, then you go through the normal process of emailing MF eligibility to try and get them to do a second check. But what this allows you to do on Viewpoint is you don't have to email MF eligibility for every eligibility check. You can do it yourself on the point by searching the account there.
- 12:30 - 13:00 Putting that email on the oop, sorry, I misspelled that. Let me retype that. For anyone that would like to submit an eligibility request through email, you are able to do that. But yes, as Javon was just saying, you can directly request in viewpoint. there's anything else anyone wanted me to show while we're in viewpoint.
- 13:00 - 13:30 [Music] Um, [Music] so Geraldine, are you referring to I just want to confirm. So you're referring to viewpoint. you don't see
- 13:30 - 14:00 any kind of status updates um or any documents that are uploaded. Okay. Um that's something we can certainly discuss on our end um and see if certain aspects of that can be possible. I know the QAQC uh or TRC report, one of them should be available for your review. That's what
- 14:00 - 14:30 we usually email out. Um so I can see if that at least would be possible, but yeah, I can definitely bring that up to our team. So all projects are moving over to viewpoint for the measures that I noted on the screen. Um it does kind of still depend on the project you're
- 14:30 - 15:00 submitting, but new projects generally should be in view. Sorry, we're trying to figure out how to I think. Yep, there you go. Yeah. Hi, how are you? Um I I just think it should be uniform meaning we could either
- 15:00 - 15:30 request assignment you know the way I've been requesting assignments is you know through email and you know I've been emailing you know hey could you could you assign these buildings blah blah blah I don't mind if there's two ways to do it but which way do you think is more uniform which way do you think is better more uniform more you know more efficient you think it's through this this new this new viewpoint way request assignment like I just want to do the most efficient way, the faster way. And I think it should be more uniform. Even
- 15:30 - 16:00 if there's two ways to do it, I just think it should be a more uniform way maybe so that things don't get, you know, pushed to the side or something. Yeah. Sorry. I don't mean to cause confusion, but going forward, you should do it on viewpoint. Okay. Because I know, right? Because I I I heard before that you said you could do it both ways. Okay, fine. So, you're rather just the viewpoint way. Yeah. Do it the viewpoint way. The only time you would send an email is if the account is not on viewpoint at all. So that is usually
- 16:00 - 16:30 like when they would come back and say it's not eligible. So yeah, so really the only time is just normally you go through Viewpoint. If there's a problem then you can send the email, but for the most part mostly most of your account checking would go through Viewpoint. And then how often do you do you look at the request assignment dashboard? Like on in terms of like what we requested like if I put in a request for assignment on a Monday, when do you think it'll be assigned? Like if I request assignment on Monday, you think it'll be assigned by the end of the week or within two
- 16:30 - 17:00 days? We have people look more than one person who actively looks at the uh assignment requests. Okay. And do you think it would be beneficial if let's say I'm requesting assignment for I don't know 20 buildings and I request assignment. Do you think it's beneficial if I also send an email to you guys saying hey I just requested assignment for buildings whatever when whatever through viewpoint you think I should send an email after I requested assignments especially in the beginning or you don't think that's that's
- 17:00 - 17:30 because it basically instantly pops up on their dashboard. Okay. Yeah. So no problem. It comes up on their end. Okay. Thank you so much guys. Y uh one second. Uh fair. I don't really have an answer for that yet, but um it might require some like some manual action uh between us and
- 17:30 - 18:00 competison. So that that one's just a little tricky. Uh sometimes their data doesn't always sync right away, but we have to talk with them and then we can change it on our side. So it's more sort of a conversation has to happen for for those inactive guest accounts. Yeah. Uh and Thor. So actually what's going to happen is basically every project type except for comprehensive is on viewpoint.
- 18:00 - 18:30 I can share this as well if that's helpful. some stupid questions. Uh Cham, I'm not sure exactly what Small Business is doing. I I have to I can double check. They're in the office with me, so I can double check and send you an email, but I I believe we are ahead of
- 18:30 - 19:00 them uh in terms of moving everything from smart viewpoint. Uh I'm not sure who's R but uh the answer is yes. Uh so every everyone who has a login will have um a dashboard particular to them but there's also an organization dashboard where they can uh see everything uh under that contractor
- 19:00 - 19:30 name the PC name uh but they have their own anything they upload themselves they can see uh kind of separately if they would like to um if you do have a situation where maybe you want to oversee uh like all your employees, uh send me an email. We can talk about that and can put that together for you.
- 19:30 - 20:00 Uh I mean eventually yes. Uh we just don't have a date for that yet. You might like they kind of just went to smart this year, but the plan is eventually they will go to Viewpoint as well. There's just no uh no date on that yet.
- 20:00 - 20:30 Uh well currently essentially every um project type is on viewpoint currently. Uh that's why we're kind of doing these trainings very uh very soon. So tomorrow will be the training on clean heat and then on the 27th uh we're doing one for
- 20:30 - 21:00 prescriptive electric and custom projects. So essentially all the product types are there except for a comprehensive I believe we'll send out the PowerPoint with all of the contact information as well as information about the upcoming trainings.
- 21:00 - 21:30 I'll put mine in as well. I guess if you don't have any more questions um you know feel free to email us. There's also going to be you know
- 21:30 - 22:00 another training tomorrow for clean heat. We hope that you know we'll see you guys there and thanks for coming. Uh also we will kind of provide all this as a we have this save as a recording um and we'll we'll send that out guys afterwards. Thanks everyone. Thank you. Thank you.
